Breakthrough is looking for an Executive Assistant who will report to the CEO. The Executive Assistant will serve as the primary point of contact for the CEO and also serve as a liaison with the board and the senior leadership team. The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations and will possess strong written and verbal communication, administrative, and organisational skills. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Key Functions/Responsibilities:

  • Provide outstanding communication and administrative support to the CEO that ensures high level of responsiveness
  • Provide sophisticated calendar management; coordinate executive communications, including taking calls, responding to emails and act as an interface between CEO and others; prioritise inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day to-day engagements
  • Manage all scheduling and travel logistics for the CEO
  • Support with internal and external communication documents
  • Prepare and edit presentations, reports, memos, digital content, newsletters, country reports
  • Complete expense reports and manage correspondence with vendors
  • Support the CEO in strategic communications, organizational strategy, and all other special projects as assigned
  • Organize meetings and events for convening’s, retreats, various board meetings, and other logistics
  • Conduct research and analysis on issues of interest to the CEO
  • Support and manage a high-volume of requests and projects to meet the objectives of the CEO
  • Serve as a liaison to Board of Directors, organise board meetings, prepare documents required, maintain the board book
  • Maintain quality filing and communications systems including contact management, document management, and archiving
  • Support CEO with donor/funder relations
  • Assist in other administrative tasks as needed

Requirements:

  • Minimum of 5 years of experience as an Executive Assistant reporting directly to CEO/President/senior management
  • Bachelors or Master’s Degree in English
  • Good working knowledge of all Advanced Microsoft Office applications including excel, Google Suite, and social media web platforms
  • Excellent written communication skills with the ability to communicate effectively
  • Excellent proofreading and editing skills
  • Proficiency in collaboration and delegation of duties
  • Exceptional  interpersonal skills with the ability to take initiative, multi-task, be a team-player, be
    flexible, adapt to shifting priorities, and prioritize work
  • Extremely high level of organization, initiative, attention to detail, responsibility, and follow-through
  • Ability to access a wide range of sources and networks for information
  • Good judgment and ability to function independently
  • Ability to handle sensitive and confidential situations with diplomacy

Breakthrough’s current work spans across 5 states on transforming gender norms to prevent Violence against Women & Girls, and exploring the interlinkages between its various manifestations. Breakthrough makes innovative use of media, arts and technology including digital and mobiles, leadership development and community mobilisation to activate critical mass of people who will deliver the culture change needed to make violence against women and girls unacceptable. Centre to this is a gender equity curriculum, called Taron ki Toli that builds gender equitable views among adolescents 11-18 year old, in school and in the community. Breakthrough uses leadership development to build capacities of 15-25 year olds to transform themselves and recruit others to make violence against women and girls unacceptable. It also works in the community with influencers and gatekeepers to shift norms to prevent violence and build values for girls and women. Media and arts infuse all our work and building evidence is a strong focus. Strategic partnership with governments are key – currently partnering with the Department of Education, Government of Punjab to apply gender lens to middle school curriculum across government schools. Currently reaching 573,000 adolescents and their communities to prevent violence against women and promote a culture of human rights, Breakthrough plans to reach 2 million adolescents over the next few years.
